Valley National Realty respects your privacy. This Privacy Policy explains how information is collected, used, stored, and disclosed when you visit www.valleynationalrealty.com, contact us through the website, subscribe to updates, or use our online calculators.
In this policy, “Valley National Realty,” “we,” “us,” and “our” refer to the business operating this website under the Valley National Realty name. Questions about this policy or your information can be directed to the contact details at the end of this page.
1. Information you provide
Contact and property inquiries
When you submit an inquiry, we collect the information you provide, such as your name, email address, telephone number, selected area of interest, and message. Your inquiry may also include a property name, business name, leasing requirements, or other details you choose to share. We use this information to understand and respond to your request.
Calculator submissions
Our calculators, including the Section 45F and Jump the Curve calculators, require an email address to submit a request and view a result. Depending on the calculator you use, we collect the figures and selections you enter, such as payroll totals, employee counts, child care spending, benefit amounts, planned investment, and calculation assumptions.
Calculator submissions are processed on our server. We save the information submitted with the inquiry, including calculator inputs and calculated results, in our website administration system. The submission may also include the calculator name, submission date, source page, and associated processing records.
We use your email address to send your result and follow up about your inquiry. Submission details are also sent to our office. Calculator figures do not remain solely in your browser.
If you provide information for an employer or another organization, provide only information you are authorized to share. Use aggregate business figures where requested. Do not include individual employee or child records.
Newsletter subscriptions
If you subscribe to our newsletter or other optional updates, we collect your email address and subscription information to provide those communications and manage your preferences.
A calculator request or general inquiry is not, by itself, a subscription to an unrelated newsletter.
Information you should not submit
Our general website forms and calculators are not intended for Social Security numbers, payment card details, bank account numbers, passwords, tax returns, medical information, or identifiable information about children. Please do not include that information in a message or calculator submission.
2. Information collected through website use
Our website and service providers may receive technical information when you visit, such as your IP address, browser and device information, pages requested, referring website, visit time, and information used to detect errors, spam, or suspicious activity.
A submission may include information about the page or campaign that brought you to the website, where available. This helps us understand the source of an inquiry.
Optional analytics and tracking tools may collect additional information about website use when enabled and permitted by the applicable consent settings. These tools are described below.
3. How we use information
We use information for the following purposes:
- Responding to inquiries about our properties, leasing opportunities, tenant matters, and employer child care information.
- Processing calculator requests, displaying results, sending requested results, and following up about those requests.
- Maintaining submission records and managing communications with people who contact us.
- Sending newsletters or other updates that a person requests.
- Operating, maintaining, troubleshooting, and improving the website.
- Understanding website use and inquiry sources through permitted analytics.
- Preventing spam, fraud, unauthorized access, and misuse.
- Addressing legal obligations, resolving disputes, and protecting legitimate rights and interests.
Calculator information may include confidential business figures even when it is not personal information. Please consider what you submit and who has access to the email address you use.
4. Where submissions are stored and who can access them
Website form and calculator submissions are stored in the website administration system. Authorized personnel and service providers supporting our website and communications may access those records for the purposes described in this policy.
Information may also appear in office notifications, reply emails, exported records, backups, and connected customer management systems. As a result, a submission can exist in more than one system.
We use service providers for functions such as website hosting and maintenance, email delivery, security, analytics, and customer relationship management. Information disclosed to a provider depends on the service it performs and the features we enable.
When responding to a property or tenant inquiry requires another person or organization involved in that property, we may share relevant information needed to address the inquiry.
We may also disclose information when required by law or legal process, to protect rights or safety, to investigate misuse, or in connection with a business transaction such as a transfer of relevant operations or assets. Any such disclosure remains subject to applicable law.
Some technology providers also process certain information for their own purposes under their privacy notices. The descriptions and links below explain relevant examples.
5. Cookies, analytics, and security tools
Cookies and similar technologies
Cookies are small files stored by a browser. The website may use cookies or similar technologies to remember privacy choices, support necessary website functions, and provide optional analytics or tracking when enabled.
Use the website’s cookie notice to accept or decline optional tracking when the notice is displayed. Declining optional tracking does not withdraw a form or calculator submission that you choose to send. Processing a requested submission and performing necessary security checks are separate from optional analytics.
You can also use your browser settings to block or delete cookies. Blocking cookies may affect some website functions. Deleting stored preferences may cause the cookie notice to appear again. Contact us if you need help changing a privacy preference.
Google Analytics
Where enabled, we use Google Analytics to understand how people use the website. Google may receive information about visited pages, device and browser characteristics, identifiers, and interactions. Its processing depends on the features and privacy settings in use.
Learn more about Google’s processing of information from websites that use its services.
HubSpot
When connected, HubSpot may receive website inquiry and calculator submission information to help us manage contacts, communications, and follow up.
If HubSpot browser tracking is enabled, it may also receive browsing information, online identifiers, and interaction data, subject to our optional tracking settings. HubSpot distinguishes information it handles for its customers from certain tracking information it processes for its own purposes, as explained in its privacy policy.
Declining optional browser tracking does not necessarily prevent an inquiry you voluntarily submit from being processed in a connected customer management system.
Read the HubSpot Privacy Policy.
Cloudflare Turnstile
We use Cloudflare Turnstile to help distinguish legitimate visitors from automated activity and protect forms against abuse. Turnstile processes technical signals, including IP address and browser related information. Cloudflare uses those signals to provide security checks and improve its bot detection capabilities.
Read the Cloudflare Turnstile Privacy Notice.
6. Email communications and your choices
We may email you to respond to a message, deliver a requested calculator result, discuss the subject of your inquiry, or provide updates you requested.
You can ask us to stop optional marketing communications by using an unsubscribe option where provided or contacting info@valleynationalrealty.com. Please identify the email address associated with your request.
An unsubscribe request does not prevent communications needed to address a separate request you make, an existing relationship, or a legal obligation.
7. Tenant applications, tenant portals, and other external services
The website links to external services, including a tenant application hosted through Microsoft Forms and a tenant portal provided through DoorLoop. Information entered into those services is submitted through their systems and may be made available to us or the relevant property personnel.
Review the privacy notice and terms presented by an external service before submitting information. Information we receive in connection with an application or tenant relationship may also be covered by additional notices, agreements, or legal requirements relevant to that relationship.
The website may also link to affiliated businesses, financial services websites, social platforms, and other external resources. Their privacy practices are governed by their own notices. A link or shared branding does not mean this policy governs the external website.
8. Retention of information
The appropriate retention period depends on the type of information and why it was collected. Relevant considerations include whether an inquiry or relationship is ongoing, the need to maintain business records, legal requirements, security concerns, and the handling of disputes or claims.
Website entries, correspondence, exports, connected systems, and backups may have different retention needs. Removing an entry from the website administration system does not necessarily remove copies from every other system at the same time.
Contact us to ask about a particular record or request deletion. We will consider the request together with applicable requirements and any legitimate need to retain the information. Where appropriate, information may be anonymized rather than retained in identifiable form.
9. Security
We use administrative and technical safeguards intended to protect information handled through the website, including access controls for administrative records. No website, email service, storage system, or method of transmission can guarantee complete security.
Please do not send sensitive documents through general website forms or ordinary email. Contact us first if your request requires a more appropriate way to exchange information.
10. Your privacy requests
You may contact us to ask about information associated with you or request access, correction, or deletion.
Depending on where you live and which laws apply, you may have additional rights, including obtaining a copy of information, objecting to or restricting certain processing, withdrawing consent, or opting out of certain uses or disclosures. These rights can be subject to legal conditions and exceptions.
Send requests to info@valleynationalrealty.com with “Privacy Request” in the subject line, or use the contact details below. Describe your request and identify the email address used for your submission. Please do not send a Social Security number or identity document with an initial request.
Where appropriate and permitted by law, we may request limited additional information to verify identity or an authorized representative’s authority before providing access to, changing, or deleting records.
If we cannot fulfill a request, we will explain the applicable reason and any available way to appeal or raise a complaint. We will not discriminate against you for exercising rights provided by applicable privacy law.
11. Children’s information
This website is intended for adults and business users. Its employer child care content and calculators provide information for employers and other adult decision makers. They are not child registration or enrollment services.
We do not knowingly collect personal information from children under 13 through this website. If you believe a child has provided personal information, please contact us so we can investigate and take appropriate action.
12. Changes to this policy
We may update this policy as our website, practices, or applicable requirements change. The date at the top of this page identifies the latest revision. We will provide additional notice when required by applicable law.
